Under supervision performs legal work of moderate difficulty recording and documenting court proceedings for hearings of various complexity and duration, processes, and distributes court documents and legal papers; interacts with judicial officials, attorneys, court staff, criminal justice officials, and parties in all types of actions; performs related work as assigned.
Typical Duties (Illustrative Only) Performs data entry in state court program and Microsoft Access Creates program documents and promotional material Records and documents hearings and meetings Updates, checks and completes records, forms and documents Processes documents to update and maintain files and records Researches records and disburses information Processes and distributes confidential documents Establishes and maintains complex filing systems Receives, sorts, files and retrieves forms, correspondence and documents Sends professional meeting invites and reminders to community partners and volunteers Helps organize and sets up trainings and events Works independently, or as part of a team, to deliver completed work product in a timely manner May proofread, format, edit, and distributes reports (please note these reports contain sensitive, and often graphic, information related to child abuse and neglect) May coordinate calendars, schedules, meetings, training and travel arrangements May assist other agencies and the public with information, forms, and other department resources and explaining procedures May answer incoming phone calls May order, receive and distribute office and program supplies May orient and train other clerical staff Essential functions of this position include but are not limited to: driving, sitting, walking, standing, crouching, stooping, kneeling, reaching, bending and crawling for filing; working with and around others; dealing with interruptions; repetitive motion (hand/wrist/elbow/ shoulder) for computer work, filing, copying etc.
; vision acuity (near) for computer work and reading documents; hearing and speech for ordinary conversation; finger dexterity and touch for typing.
Minimum Qualifications Two years of experience in a business environment or training in business procedures; must have keyboarding skills of 50 words per minute and take dictation (by shorthand or speed writing) at 60 words per minute and/or have experience with digital recording equipment; OR Associate degree in a related field and two years of experience in a business environment or training in business procedures; must have keyboarding skills of 50 words per minute and take dictation (by shorthand or speed writing) at 60 words per minute and/or have experience with digital recording equipment; OR Any equivalent combination of education, training and experience which demonstrates the ability to perform the duties of the position.
Preferred qualifications include court or legal experience.
This position is non-exempt from overtime.
Knowledge, Skills and Abilities Considerable knowledge of: - Use of modern office equipment - Taking and transcribing dictation Working knowledge of: - Arizona statutes and Rules of Procedure - Court and legal terminology and procedures - Modern office practices, procedures and equipment - Legal terminology and business English - Computer applications Ability to: - Make sound decisions in accordance with regulations, policies and procedures - Maintain confidentiality of court matters - Perform complex paperwork processing and calendaring tasks with speed and accuracy in a courtroom environment - Meet deadlines and maintain work flow - Type accurately - Accurately maintain records and prepare reports - Work safely and support the culture of workplace safety - Establish and maintain effective working relationships with employees, other agencies and the public - Follow written and verbal instructions - Communicate effectively verbally and in writing Coconino County is an Equal Opportunity Employer.
